Event Planning: 5 Features Combined for a Stunning Atmosphere.

TABLE OF CONTENTS

HOW TO CONNECT THE 5 FEATURES

Five features to combine and connect without using any ploy sounds like a tricky task.

Our goal is to create an event timeline without lag time between a step and another.

An immersive experience means also satisfies most of the human senses.

  • The Storyline is the Script correlated to the documentary, and it is the first subject to be recreated.
  • The Mapping Projection is the Set-Design of the Storyline and is related to the Sight.
  • The Soundtrack is associated with the Sound to be performed during dinner time, and the theatrical performance reinforcing the atmosphere.
  • The Sit-Down Dinner represents the Taste and is related to the theme and the Storyline as well.
  • The live DJ is the last phase of the event timeline when guests will be left free to dance, gather, and drink.
CONCEPT

THE STORYLINE

The Storyline is the main topic since all the other features are going to be created around it.

Its base is a Theatrical script, which recreates a documentary that will develop a chronological sequence, spanning from a point in history to another.

It can be developed in several styles, but the better one is light and funny, given the guests’ situation, and the ultimate goal is to propel them to live an adventure where they can feel part of the theme.

The first Script is developed as an 80 minutes show and performed in several acts between the sit-down dinner courses.

The guest’s sitting tables will be at the same level as the stage and up, to where the action will occur, and a surrounding set design will include the whole venue.

THE MAPPING PROJECTION

This feature was the first one that popped into my mind when I thought of a robust set design reproduction.

There are numerous barriers to optimal performance. Primarily it fits better for outdoor expositions and is mainly used for festivals or even government celebrations.

This technology was created a long time ago and is rarely for indoor events and conventions. It can recreate any theme, giving a sense of infinite and robust involvement instead of a cold wall, and reach its full potential in a circular shape venue.

It is a costly feature and is often used as an animation projected on giant screens or walls. In our case, reproducing a dynamic set design doesn’t involve “animation” content.

Still, it is a recreation of a panoramic set design, that through several projectors, will overlap a portion to another on a 360-degree screen.

We will talk more about this topic in the technology category.

THE SOUNDTRACK

It is essential to describe the whole event timeline defined by the dinner time and the theatrical exhibition with its appropriate Sound.

The style is pretty classical, with some appreciation of more contemporary sounds and effects to describe better specific actions, especially when amusing.

The famous era instruments create their foundation. The whole Soundtrack will be just instrumental without any lyrics and accurate to the selected theme.

It describes three primary circumstances in the event timeline:

  • The narrative voice-over before the scene action.
  • The scene performance description.
  • The serving and dinner time in between the acts.

When possible, the Sound will require to represent situations within the Actor’s performance without using words.

THE SIT-DOWN DINNER

Dinner is usually the most critical and expensive vendor for any event, and the food is an immense business industry that spans from fast food to high scale restaurants.

At any event, the food is served in two options.

  • Buffet

A buffet dinner doesn’t need a full service, but some servers must maintain the sections smooth, refilling the silverware, the casseroles, and the plates.

  • Sit-Down Dinner

This option includes a full service at the table and a lot of servers involved. A good service considers serving the food on time, marking the table, and providing info about the food recipes in case of allergies.

How to serve it? As a Buffet or a sit-down dinner?

Based on my experience, it is impossible to perform a theatrical exhibition when people walk around the stage or can’t pay attention because they are in line at the buffet.

The only option is a Sit-Down Dinner, which means a more expensive service but a remarkable saving in food costs.

THE DJ LIVE

Any significant event usually proposes dance music after dinner through a concert, a band, or a DJ up to the end.

This concept centred at a sit-down dinner and a theatrical performance keep the guests at the table for a long time.

After the “journey” performance, anyone desires to be free to dance and move all over the venue.

The best alternative is to combine dance music with the historical theme and to the Storyline. Music dance might be in several styles, and the better DJs are great at creating remakes from popular classical music.

At the beginning of any event associated with the panoramic projection, a 90 second Ouverture will describe the entire “storyline journey” starting from another planet in the universe

Travelling through time and space will reach our world at the desired historical era.

Casting the perfect DJ with the right playlist will be our priority.
